Welcome to Tarragon VZW. These Terms of Service ("Terms") govern your use of our website (tarragon.be), participation in our events, and registration as a member ("Kobold") of our non-profit association.

2. Applicability & Acceptance

  1. By browsing our website, creating an account, registering for any of our events, or purchasing a membership, you agree to comply with and be bound by these Terms.
  2. If you do not agree with any part of these Terms, you should not access our website or participate in our activities.

3. Membership ("Kobold") Terms & Conditions

  1. Acceptance of Terms: The acquisition and use of a membership constitutes complete acceptance of the terms and conditions listed herein.
  2. Property & Validity: The physical or digital membership is the property of Tarragon VZW and must be returned or surrendered upon reasonable request. Memberships are valid for the annual term ending on June 30th of each year. Membership cards and privileges have no cash value and cannot be redeemed for cash.
  3. Annual Fee: The annual contribution for a Kobold membership is €10/year, billed annually until cancelled. Payments are processed securely in accordance with Belgian and European VAT regulations.
  4. Member Identification: Membership cards are only valid when the member's full legal name (matching an official government identification document) is permanently inscribed on the card.
  5. Non-Transferability: All membership benefits and discounts are strictly personal and non-transferable. Benefits may only be used by the registered Member upon presentation of their valid membership card and, if requested by staff or volunteers, valid proof of identification.
  6. Lost or Damaged Cards: Lost or stolen membership cards must be reported immediately to a member of the Tarragon administration ("Dragons"). A processing and replacement fee of €10 may be charged for a replacement card, which will retain the original expiration date.
  7. Cancellation & Refunds: You may cancel your recurring membership subscription at any time via the billing portal. Upon cancellation, your membership privileges remain active until the end of the current billing cycle. No partial refunds are issued, unless explicitly decided otherwise by the Tarragon administration.
  8. Partner Benefits & Liability: In no event shall the owners, operators, franchisors, or licensors of any partner merchant that accepts Tarragon membership benefits, nor Tarragon VZW itself, its directors ("Dragons"), volunteers, or agents, be liable for any indirect, special, or consequential damages arising from partner promotions or partner services. Tarragon's aggregate liability under any circumstance is strictly limited to the amount paid by the member for their current membership subscription.
  9. Amendments: Tarragon VZW reserves the right to modify membership benefits, partner arrangements, or guidelines with prior announcement through our official website and Discord community.

4. Event Registrations & Conduct

  1. Registrations: Registrations for tabletop RPGs, board game sessions, and workshops are processed on a first-come, first-served basis.
  2. Cancellations: If you are unable to attend an event you registered for, please use the cancellation link provided in your confirmation email as soon as possible so that waitlisted participants may join.
  3. Code of Conduct: Tarragon VZW is committed to maintaining an inclusive, welcoming, and safe environment for all tabletop enthusiasts. Harassment, discrimination, hate speech, bullying, or disruption of games will result in immediate removal from the event and potential revocation of membership.

5. Intellectual Property

All text, graphics, logos, images, illustrations, and software on this website are the property of Tarragon VZW or its licensors and are protected under copyright, trademark, and intellectual property laws. You may not reproduce, modify, or distribute our content without prior written permission.

6. Applicable Law & Jurisdiction

These Terms are governed by and construed in accordance with the laws of Belgium. Any disputes that cannot be settled amicably shall be submitted to the exclusive jurisdiction of the competent courts of the judicial district of West-Vlaanderen (division Kortrijk).
